Wedding seating chart mistakes to avoid
Most seating problems come from small decisions made too early: seating before cleaning the list, ignoring meals, or exporting a version that is already outdated.
Assigning seats before cleaning the list
Start with reliable data: duplicate guests removed, RSVPs confirmed, full names added, and important meals or notes captured. Otherwise every edit breaks part of the plan.
Forgetting real table capacity
A layout can look balanced while still having more guests than chairs. Check total seats first, then keep a buffer for late changes.
- Compare guests, chairs, and already seated guests
- Add a buffer table if the venue allows it
- Separate children, vendors, and guests with a clear rule
Exporting too early
The caterer PDF should come after the final review. Save final exports for the point where RSVPs, meals, and table assignments are consistent.
Not planning a shared version
On event day, staff need a searchable guest list and a clear chart. A read-only link prevents multiple contradictory files from circulating.
