How to make a wedding seating chart

A seating chart is built in layers—not in one frantic evening. This is the workflow we recommend: from a clean list to a caterer-ready export.

1. Clean and structure the list

RSVPs current, duplicates removed, full names, groups, meals. Import via CSV instead of retyping. See the Excel / Zola / The Knot import guide if needed.

2. Size the room

Table count, shapes, capacities, aisles, dance floor, buffet. Fix geography before personalities. Use the guests-per-table guide for ranges.

3. Seat hard constraints

Head table, parents, VIPs, accessibility needs, people who must stay apart. Everything else gets easier afterward.

4. Fill by groups

Families, friends, coworkers, kids. Balance energy and familiarity without chasing impossible perfection.

5. Validate and export one version

Recheck capacity, unseated guests, and meals. Then PDF/PNG for the venue and CSV for check-in. A read-only link beats conflicting WhatsApp files.
